Cancellation Policy for Spandan Holidayers Pvt. Ltd.
At Spandan Holidayers, we understand that plans can change, and we strive to be as flexible and accommodating as possible. Our cancellation policy is designed to provide clarity and fairness to our valuable clients while ensuring the sustainability of our services and support to the local communities we engage with. Please review the following details regarding our cancellation policy:
1. Cancellation by the Client
- Cancellation Requests: All cancellation requests must be submitted in writing via email to our customer service team at connect@spandanholidayers.com. The cancellation will be effective from the date we receive your written notification.
- Non-Refundable Token amount: The token amount (20% of total tour package cost) received during the booking of a tour package is non-refundable, regardless of the cancellation date.
- Cancellation Fees:
- More than 60 days prior to departure: 20% of tour cost.
- Between 30 and 60 days prior to departure: 50% of tour cost.
- Between 15 and 30 days prior to departure: 70% of tour cost.
- Less than 15 days prior to departure: 100% of tour cost.
- Non-Refundable Components: Certain components of the tour, such as flights, bus ticket, permits and special event tickets, may also be non-refundable. These will be clearly communicated at the time of booking.
2. Cancellation by Spandan Holidayers
- Minimum Participation Requirement: Some of our tours require a minimum number of participants. If the minimum number is not met, we reserve the right to cancel the tour. In such cases, you will receive a full refund of the tour price.
- Force Majeure: In the event of circumstances beyond our control, such as natural disasters, political unrest or other emergencies, we may cancel the tour. In such cases, we will provide a full refund – minus 20% administrative charges or offer to validate the tour package for next 12 months (one year) or offer an alternative tour of comparable value.
3. Changes to Bookings
- Amendment Requests: If you wish to make changes to your booking (such as altering the travel dates or itinerary), please contact our customer service team as soon as possible. We will do our best to accommodate your request, subject to availability and any additional costs incurred.
- Change Fees: Amendments made more than 30 days prior to departure may be subject to a change fee. Amendments made within 30 days of departure may incur higher fees or may not be possible, depending on the nature of the changes.
4. Refund Process
- Processing Time: Refunds will be processed within 14 business days of receiving/approval of your cancellation request.
- Payment Method: Refunds will be issued using the same method of payment used for the original booking. If this is not possible, we will arrange an alternative method of refund in consultation with you.
5. Travel Insurance
While Spandan Holidayers does not provide travel insurance services, we strongly recommend that all our clients purchase comprehensive travel insurance at their own that covers cancellations, medical expenses, personal liability, loss of personal property, etc. This ensures that you are protected in case of any unforeseen circumstances that may require you to cancel or alter your travel plans.
